Seven signs your handoff is leaking pipeline

If your pipeline leaks in the handoff, it rarely announces itself. It shows up as a set of small, tolerated symptoms that everyone has learned to work around. Here are seven. If more than two feel familiar, you have a handoff problem, not a demand problem.

1. Leads sit unactioned for hours

If your median time-to-first-touch is measured in hours rather than minutes, you’re losing the ones who were ready to talk. Speed decays interest fast, and the best leads are the least patient.

2. Sales quietly re-qualifies everything marketing sends

When reps treat “marketing qualified” as a suggestion they’ll re-check from scratch, the handoff has no shared definition. That re-work is leakage in the form of wasted time and dropped follow-ups.

3. There’s an “unassigned” queue nobody owns

Any lead state that isn’t somebody’s explicit job is where leads go to die. If you can’t name the person who checks the unrouted queue, no one does.

4. The two teams report different numbers

If marketing’s “leads sent” and sales’ “leads received” don’t reconcile, something is falling out between the two systems — and neither side can see it because each only has half the picture.

5. Follow-up depends on the individual rep

When whether a lead gets three touches or zero comes down to which rep caught it, you don’t have a process — you have luck, unevenly distributed.

6. Nobody can say what happened to last month’s leads

If tracing a cohort of leads to their outcomes requires a manual spreadsheet exercise, you can’t see leakage even when it’s happening. Invisible loss is unfixable loss.

7. Forecasts miss in ways no one can explain

Persistent, unexplained forecast misses are often leakage wearing a disguise. The deals didn’t lose on merit; they fell out of the process before they got a fair shot.

What to do about it

None of these are exotic. They’re the ordinary ways a handoff decays as a company grows and no one is paid to watch the seams. The fix starts with seeing the whole path a lead takes and finding the specific point it falls out.

That’s exactly what a free 30-minute pipeline health check is for — I’ll look at your handoff and tell you where it’s leaking, no obligation. If you’d rather see the full diagnostic first, here’s the Audit.
